What to look for in a commercial cleaning company
Start with the basics that separate a real operating company from a lead-gen broker or a gig-worker platform:
- Bonded and insured. Ask for a certificate of insurance (COI) before the first visit. A real company sends it within a business day. If they hesitate or cannot provide one, do not proceed.
- Background-checked team. Every cleaner entering your office should have a current background check. Ask who runs the checks and how often they are renewed. We run ours before anyone steps foot in a client space, and we renew annually.
- A real person who answers the phone. You should be able to reach someone during business hours — Monday through Saturday, 8am to 6pm — without navigating a phone tree or waiting for a callback from a chatbot. That person should know your account by name.
- A consistent team. The same crew should show up every visit. Rotating strangers means no one learns your space, your preferences, or the quirks of your building. We send the same dedicated team to every recurring commercial account.

Industry-specific cleaning — why one size doesn't fit all
A dental office and a law firm share an address sometimes, but they do not share a cleaning protocol. The right commercial cleaning company adjusts the work to the actual use of the space:
- Medical and dental offices. Exam rooms and treatment areas have clinical sterilization handled by your team. We focus on reception, waiting areas, restrooms, floors, and shared surfaces — scheduled around patient hours so we are never in the way.
- Law firms and accounting offices. Confidentiality is the priority. A background-checked crew that respects locked offices and document areas is non-negotiable. We clean around closed doors and never touch client files.
- Retail stores and storefronts. High-traffic floors, fitting rooms, and front-of-house areas that need to look presentable during operating hours. We often clean retail spaces overnight or early morning before the doors open.
- Coworking and shared spaces. High-turnover common areas, kitchens, and restrooms that see heavy daily use. These spaces typically need more frequent visits — daily or every-other-day — to stay guest-ready.

Scheduling, access, and after-hours considerations
Commercial cleaning happens on your schedule, not the cleaning company's. Before you hire anyone, confirm how they handle these logistics:
- After-hours availability. Most businesses prefer cleaning when the office is empty. Make sure the company offers early morning, evening, or weekend slots as part of their standard service — not as a premium add-on.
- Building access. Ask how they manage door codes, alarm systems, and front-desk check-ins. A company that has cleaned in your building or neighborhood before will know the quirks already.
- Consistent scheduling. Your cleaning should happen on the same day at roughly the same time every visit. If the company cannot commit to a fixed schedule, they will struggle with consistency.
- Communication when something changes. Holidays, building closures, and weather events happen. The company should proactively confirm or adjust the schedule, not leave you wondering whether they will show up.

Red flags when hiring commercial cleaners
Some warning signs are subtle. Others should end the conversation immediately:
- No certificate of insurance on request. If they cannot produce a COI within a business day, they likely do not carry insurance. Walk away.
- Flat quote without seeing your space. A real commercial quote depends on square footage, restroom count, industry, and frequency. A flat number without those details means hidden fees later.
- High-pressure contract terms. A twelve-month commitment with a steep cancellation penalty is a sign they expect clients to want to leave. Reputable companies earn retention through quality, not contracts.
- No dedicated point of contact. If every call goes to a different person who does not know your account, you will spend your time managing the cleaning company instead of the other way around.
- Unclear pricing on add-ons. If they cannot tell you upfront what extras like window cleaning, floor waxing, or deep carpet cleaning cost, the surprise will come on the invoice.

- They listen first. Before they quote you, they ask about your space, your hours, your industry, and your priorities. They take notes and come back with a plan that matches what you described.
- They communicate simply. The quote is clear. The schedule is clear. The billing is clear. You never have to ask for clarification on what you are paying for.
- They treat your space with respect. The team arrives on time, works without disrupting anything, and leaves the space better than they found it. They lock up behind themselves and confirm the work is done.
- They get better over time. After a few visits, they know your office well enough to notice when something is off — and they tell you before you notice yourself.
- They are easy to reach. When you need to adjust the schedule, add a service, or ask a question, one call or message gets you a real answer from someone who knows you.
